Section 1 - E-mail

Please enter an email address where all electronic correspondence can be sent. The person requesting the service (Referrer) will be the main contact. To receive documents and information via email, please provide your email address.

Section 2 - Assignment

This page provides us with essential information about what type of service you require and when you would like it delivered.
Date:
When will the event take place?
If you require a Provider for an extended period or for multiple assignments, please enter the first date, then add the additional dates in Section 7 - Comments.
Time:
What is the duration of the event?
If you require a Provider for an extended period or for multiple assignments, please enter the earliest time, then add the additional periods in Section 7 - Comments.
Recommended Arrival Time:
When would you like the Provider to arrive?
It is reasonable to expect the Provider to arrive with sufficient time to be briefed for an assignment. Should you feel additional time may be required, please indicate this here.
Deadline:
When would you like a final progress report?
We will continue to search for a suitable Provider until 5pm the day before the assignment. If you require final notification earlier, please state it here and you will be contacted before 5pm on this date.
Assignment Title:
What is the purpose of the assignment?
A descriptive title will help Co-ordinators select an appropriate Provider and assist the Provider when preparing for an assignment.
Type of Event:
In what domain will the service be used?
To maintain professional standards and to ensure the most appropriate Provider is contracted, it is important to know in which environment a service will be used.
Number of Providers:
How many Providers do you need?
"Provider" is the term we use to describe the person who will deliver the service you have requested. If you are unsure how many Providers are required, please contact the Call Centre. Our Quality Assurance Policy states and accepted working practice dictates that within any given hour a Provider will be granted a break of 20 minutes, ideally 5 minutes every 15-20 minutes. When the format of an assignment cannot accommodate this need or when a session exceeds 3 hours, the use of 2 Providers will be required. When a training or consultancy service is requested, should a deaf Provider be used, communication support will be provided.
Assignment Type:
We provide a variety of Providers or Language Service Professionals, together with training and consultancy. Please specify the type of service you require.
 
Interpreting
Our Qualified, CRB checked and insured Interpreters are trained to work between English and British Sign Language / Sign Support English. We charge a fixed fee, inclusive of Interpreter cost, transport expense, subsistence and administration.
  • Short Notice
    Dealing with unplanned events within 5 working days of the event.
  • Specialist Settings
    Legal, Mental Health or other complex assignments require specific skills. This service will skill match an appropriate Interpreter to meet the needs of the individual in a given domain. Please provide further details of your specific requirements in Section 7 – Comments.
  • Emergency
    An out of hours call out service, offered to the public but guaranteed only to subscribers.

  • Contract

Specialist
Individual communication preferences demand specific skills. We provide a range of Human Aids to Communication and communication support services.
  • Deaf Relay
    A deaf intermediary is able to assist a clients with specific language needs or a disability. Working with an Interpreter, a Deaf Relay provides a third layer of interpretation and is able to aid the clients understanding.
  • Lipspeaker
    Trained to relay the spoken word, a Lipspeaker will mouth what is said in a clear way, using natural gestures.
  • Speech to Text
    Using a Qwerty based system or Pallentype, an operator can provide a transcription of an event, on a local or projected screen. Please specify your requirements in Section 7 – Comments.
  • Deafblind
    The Deafblind Manual Alphabet, Tactile Signing or Visual Frame are some of the ways Deafblind People communicate. We can provide a professional who is able to offer specific language support. Please specify your requirements in Section 7 – Comments.
Training:
Packages tailored to meet the specific needs of your staff. Please specify your requirements in Section 7 – Comments.
Consultancy:
Access to a vast range of experts in the field of Interpreting, deafness and disability. Please specify your requirements in Section 7 – Comments.
 
If you are unsure which type of support is required, liaise with the Client or contact the call centre for advice. If you would like to request different types of provision, please include this in Section 7 – Comments.
Dress Code:
Do you need the Provider to dress in specific clothing?
Generally plain, dark, smart casual clothing is worn by a Provider. Should the event be more formal, informal or outside, please select the appropriate option.

Section 3 - Location / Venue

We provide a nationwide service and it is likely that the Provider will not be familiar with the location of the assignment. Please give as much information as possible. The Allocation Co-ordinator may ask you to provide further details or a map.
Venue ID:
In the section on the right hand side of the form, existing customers may enter the ID number of the venue, which is prefixed by 20 and can be found on the Confirmation letter.
Venue Name:
This should be the name of the building or the organisation providing the venue.
Contact at Venue:
We need details of a person who is based at the venue and their contact number to assist the provider, in the event they are unable to find the location. This can simply be "Reception", together with a number for that location.
Address and Postcode:
Please provide the full postal address of the venue, including the postcode.
Directions:
A Provider may travel to the location using public transport or a vehicle. It would be helpful if you could state if public transport is available or if the venue is difficult to find. Providing a main road or significant landmark close to the venue is always useful.
Comments:
Please inform us of any additional information which may be useful, for instance, if parking is available on site or any reception arrangements. You are obliged to notify us of any Health and Safety or Security issues and to ensure that the venue holds appropriate public liability insurance.

Section 4 - Referrer

As the person requesting the service, you are known as the Referrer. We will liaise with you regarding the request, using the contact information you provide here. A Confirmation letter is issued to the Referrer and if desired, to the Client.
Referrer ID:
To the right of the form, an existing customer may use their Referrer ID number, prefixed with 30, available from the Introduction Pack or Confirmation letter.
Referrer Password:
You will also need to enter your password, which was randomly generated and contained in the Introduction letter.
Name of Referrer:
The name of the person requesting the service.
Address and Post Code:
We will forward the Introduction letter and any subsequent Confirmation to this address.
Contact Details:
By this point we will have your email address and a contact name and number at the venue. We now need an alternate method of contacting you.

Section 5 - Funder

We refer to the individual or organisation paying for the service as the Funder. Please enter the details of who has agreed to pay for the service. They will be issued with a Contract, which must be signed and returned. After the assignment is completed, they will be sent an invoice. As the Referrer, you can ask for the Contract and Invoice to be sent for your attention by request in Section 7 – Comments.
Funder ID:
A field is available on the right hand side of the form where the Funder ID can be entered. This number is prefixed by 50 and can be found on the Introduction letter, Contract, Confirmation or an Invoice.
Organisation:
What is the name of the organisation paying for the service?
This should be their registered name and in the case of an organisation, their legal status.
Contact Name:
Who within the organisation will be dealing with the Contract and Invoice?
Address and Postcode:
Where can the Contract and Invoice be sent?
Contact Details:
What is the contact number for the person dealing with the Contract and Invoice?
Order Number:
An official Order Number entered here will appear on the Invoice.
Your Reference:
Any reference entered here will appear on the Confirmation and Invoice.

Section 6 - Client

Details relating to the Client are often the most difficult to obtain, but it allows us to provide the most appropriate service for an individual. All confidential information is protected, an information security system is in place and we are registered with the Information Registrar (No: Z524011X) in accordance with the Data Protection Act (1985).
Client ID:
In the column on the right, existing customers may enter their Client ID, which is prefixed by 40 and is available from the Introduction letter and a Confirmation.
Client Name:
The name of the person who will be the primary user of the service. If more than one service user will be present, please include this information in the next section.
Address and Postcode:
If you would like the Client to receive a copy of the Confirmation please enter their address.
Contact Details:
If you would like the Allocation Co-ordinator to provide progress reports to the client, please enter their contact details.
Communication:
Please indicate the preferred method of communication. If you are unsure, liaise with the Client or contact the call centre for advice. A Client may require a range of services, for example a deaf person who uses British Sign Language may require a BSL Interpreter and a Speech to Text Reporter. If the Client has known specific communication, please use Section 7 – Comments.

Section 7 - Comments

Please provide as much information as possible, to assist the Provider in preparing for the assignment.
Please notify us if:
  • the assignment is of a sensitive or personal nature;
  • you require a Provider of the same gender as the Client;
  • there are any known health & safety or security issues.
Use this section to tell us if:
  • you have multiple dates and times;
  • the assignment spans a number of days;
  • you need a copy of the Contract or Invoice sent to the Funder;
  • you require more than one type of service provision;
  • the Client has specific language needs.

Section 7 - Terms & Conditions

Please read the Terms & Conditions of the service we provide. You may wish to view our Contract that governs the provision of the service. This will be sent to the Funder and must be signed and returned prior to the delivery of the service. You must agree to the Terms & Conditions before we can accept your service request.
